My system is designed to act as your receptionist — capturing contact info and booking appointments, not storing or transmitting medical records. That means HIPAA doesn’t apply here. My receptionist will never touch PHI. If the caller mentions anything clinical, my receptionist will instantly trigger to schedule a follow up call with your office.
Generally within ~5 business days.
No, you don't need to change anything. Here's the simplified process:
1. I will give you a brand new number which is tied to your brand new receptionist. (Your callers will never see this number)
2. You will forward MISSED CALLS to this new phone number. (Most phones are simply *73 to forward missed calls)
3. My receptionist syncs with your current calendar to see which dates and times you have available to avoid double-booking.
4. A potential patient calls your main office phone number and can speak with your current receptionist as usual. If your office doesn't answer, it gets forwarded to my receptionist instead of a voicemail. My receptionist is trained to ask questions and understand the reason for the call and book a consultation on your behalf.
5. You wake up to more consultations on your calendar while your office was closed.
6. You have access to your very own call CRM where you can see call history, read transcripts, listen to call recordings, and more.
No. Your office keeps everything exactly the same as it is now. You will simply forward missed calls to my receptionist. All calls will still go to your office first.
My receptionist can 2-way sync with the following calendars: Google, iCloud, Outlook, and Calendly. If you use a different calendar, let me know and I'll see about adding another integration!
